About the Role
Portulans Institute is seeking a detail-oriented and proactive Project Coordinator to support the management and delivery of a high-profile global index. This role involves coordinating cross-functional teams, ensuring timelines are met, supporting communications and stakeholder engagement, and managing workflows related to data, content, and events. This is a dynamic, part-time opportunity at the intersection of research, strategy, and public engagement.
Key Responsibilities
Project Coordination & Stakeholder Management
- Act as the central point of coordination between Portulans Institute, contributors, and partners.
- Track deliverables and deadlines across multiple workstreams (data, writing, communications, events).
- Maintain day-to-day communication with internal and external stakeholders.
- Coordinate contracting processes and secure usage rights (e.g., logos, materials).
Data & Content Process Support
- Assist in managing the production of data analysis, briefs, and core report chapters.
- Liaise with the relevant partners on data audit processes.
Writing, Editing & Design Coordination
- Coordinate copy-editing, proofreading, and review cycles.
- Support graphic design process by ensuring timely delivery of content and approvals.
Communications & PR Support
- Help coordinate press releases, social media content, and blog contributions.
- Track implementation of the communications strategy, including special publications and press conferences.
Event Support
- Assist with the planning and logistics of global and regional launch events.
Track speaker invitations, scheduling, and event materials. - Coordinate with communications leads on event promotion.
Fundraising & Partnership Support
- Help prepare outreach materials (brochures, partner lists).
- Maintain contact lists and support follow-ups with funders and collaborators.
Qualifications & Experience
- Minimum 3 years of experience in project coordination, program management, or similar roles.
- Strong organizational skills.
- Excellent written and verbal communication skills.
- Experience with global or multi-stakeholder initiatives preferred.
- Familiarity with research or data-driven projects is a strong plus.
- Proficiency in using project management tools (e.g., Asana, Trello, Spreadsheets).
- Comfort working across time zones and with virtual teams.
